NextIT generates your Privacy Policy and Terms & Conditions and delivers them as a bilingual PDF (FR / EN) on demand. Your privacy incident register and data-subject requests stay documented in the same place.

What this module is for

The AI Privacy Policy & Terms Generator drafts your privacy policy and your terms and conditions. It uses your company profile and your Personal Information Registry (PI Registry), and it aims at Law 25. Law 25 requires you to publish your governance policies and practices about personal information, in clear terms, on your website.

Before you start

• In My Company, open Profile and complete the company information.
• Complete the Privacy Officer / Responsible Person section: name, job title, email, phone and mailing address.
• Complete the PI Registry: the personal information you collect, why you collect it and how long you keep it.
• Check readiness. The generator shows whether the company is ready to generate a policy.

Generate a privacy policy

   Open the generator

   Select the AI Privacy Policy & Terms Generator card on the dashboard.

   Choose the language

   Choose English or Français.

   Start the run

   Select Generate Privacy Policy. The generator starts an AI run in the language you chose.

   Follow the run

   Keep the page open to follow the run. Use cancel to stop it, or resume to continue a run that stopped.

By default, the base language is French, and NextIT produces the other language as a translation.

What you see

The version list shows each generated version. Use the search to find one. The list offers these actions:

• Download Latest downloads the latest version as a PDF.
• View Details opens the details of a version.
• Edit opens a version for changes.
• Download downloads one version as a PDF.
• Review starts the review of a version before you publish it.
• Publish changes the status of a version. Only an Admin can change a status.
• Delete removes a version or one of its translations. Only an Admin can delete.

Terms and conditions

Select the Terms & Conditions Generator tab to create terms or generate them with AI. An Admin can change their status and delete them. Every role can open the terms and download the PDF. Without a language choice, the PDF is in French.

Who can use it

• An Admin uses every action in this module.
• An Auditor opens the generator, reads the policies and terms, and downloads them.
• A User cannot see the generator card.

Common tasks

• Check readiness before you start a run.
• Generate a policy by choosing the language and selecting Generate Privacy Policy.
• Download the latest version with Download Latest.
• Review a version with Review, then select Publish when it is final.
• Create or generate terms in the Terms & Conditions Generator tab.

Tips

• Update the company profile and the PI Registry before you start a run.
• Check whether your current policy is out of date. Generate a new version when it is.
